Complaints and Dispute Resolution

In short: a complaint that travels in writing, with timestamps and transaction IDs attached, moves through four fixed stages — operator support, the operator complaints desk, the ADR body, the licensing authority. Skipping a stage usually sends the case back to the bottom.

Step 1 — Write to operator support, do not phone

Open a ticket or a live chat with the operator and ask for the transcript by email before you close the window. A written channel is the only one that produces evidence later. Keep the first message factual and short: what happened, the date and time with your time zone, the amount in euros, the transaction reference, and the email the account is registered to. Close with one sentence naming the outcome you want. That is how to complain in a way that survives the next three stages: facts, evidence, one precise request.

Note the ticket number. If you raise the same issue through a second channel, quote that number so the case is not split into two half-answered threads. Service language is English — Finnish is not guaranteed, so write in English if you want the fastest reading.

Step 2 — Document everything before it disappears

  1. Screenshot the cashier screen, the error text and the bonus terms as they appeared to you, with the clock visible.
  2. Copy the transaction ID from your bank, Trustly, Skrill or the blockchain explorer.
  3. Record timestamps in a single time zone and state which one you used.
  4. Save the full correspondence — every reply, agent name and ticket number — in one folder.
  5. Write a one-page summary in your own words: what happened, what you are asking for, what the operator answered.

Most withdrawal complaints turn out to be an unfinished KYC check, a payment name that differs from the account name, a payout requested to a method that never funded the account, or an active bonus still locking the balance. Evidence settles all four faster than argument.

Step 3 — Escalate inside the operator complaints process

If the answer resolves nothing, ask in writing for the case to be moved to a supervisor or to the operator complaints department. Use the words formal complaint, quote the ticket number and attach the evidence file from step 2. Give the operator the response period stated in its own terms before you go further; almost every external body will check that you did.

Step 4 — ADR body, then the licensing authority

Above the operator sits an alternative dispute resolution scheme — an ADR body — named in the operator terms and conditions. ADR is free for the player, decides on documents rather than hearings, and normally accepts a case only after the operator has had its chance and only inside a filing window measured in months.

Above the ADR sits the authority that issued the licence. Do not guess it: read the licence block in the operator footer, then look the licence number up in that regulator public register and use the contact route printed there. In Finland the domestic picture is in transition — supervision currently sits with the police authority, and the gambling act reform moves it to the new licensing and supervisory agency with the licence market due to open at the start of 2027.
